Manufacturing & Distribution Company Realises Significant ROI from ERP and BI System; Codestone installs SAP Business One and Orbis TaskCentre for Polymax Limited

The combination of SAP Business One and Orbis TaskCentre has provided Polymax with a complete 360 view of the business, as well as automating basic tasks and enabling the company to explore new business opportunities.

"Overall, customer experience is better as we are able to drill down quicker into products and history while we are on the phone. We've also saved time and money on integration with our delivery companies as we are able to send out SAP files to their software and receive information back into SAP," explained Rishi Nijhawan, Director, Polymax Ltd. We are doing more per person than we did with the legacy Sage system, that's for sure." Polymax Ltd. has been growing rapidly since 2005. As the volume of sales began to increase, it quickly realised that its IT system was not sufficient enough to keep up. Due to having a number of systems that were not fully integrated, the company was generating a lot of paper trails and had no decisive workflow management in place. With additional offices around the globe, Polymax also needed to trade in multiple currencies.

"Generally our orders tend to be small value orders, but there are usually many in a day, so transactional efficiency is quite important for a company like Polymax," said Nijhawan. "Ideally, you don't want to be spending more than 10 -15 minutes, from start to finish, processing an order. With our old system it was taking a lot longer than that, so we knew we had to change our workflow or we wouldn't be competitive." SAP Business One's adaptability means that it can easily integrate with other systems. Codestone was easily able to integrate it with Magento, an eCommerce solution that Polymax was using, to help it take full advantage of its online channel. SAP Business One also benefits from a plethora of third-party add-ons that have been developed to cater for specific tasks and industry requirements.

"With the combination of SAP Business One, Boyum IT's B1 Usability Package connector and Orbis TaskCentre it was fairly easy for me to visualise how we could use process automation to get to where we wanted to go. We realised that these add-ons made it much more customisable and we could automate all the manual tasks that consumed a great deal of our time," said Nijhawan. "We added a credit card module which means that our employees can take payments on their screens. The picking and packing functionality in SAP is also very good. Previously we had to photocopy an order and then take it out to despatch. However, with the new system our staff can process it directly through the Pick and Pack Manager." Polymax was extremely impressed with Codestone's implementation, as well as the training given to its IT team. The company decided to invest significant resources into training two employees to not only help develop the project and ensure a smooth transition, but to benefit from an in-house support team following the deployment.

"It's quite important, in my opinion, that you have some internal resources to manage the process, as your internal team can quickly and easily configure small changes or tweak the way some processes run. That makes a huge difference," said Nijhawan. "The whole project, from start to finish, took about 9-10 months, and in terms of delivery it did everything we wanted the system to do.
